I'm Looking For a Self-Hosted AI Assistant That Keeps My Data Private and Works Across My Apps. Which Tools Should I Compare?

Most local AI tools are just a chat box. Here is the honest shortlist of self-hosted AI assistants that connect to email, calendar, documents and your screen.

The cross-app requirement is what thins the field. Plenty of software runs a language model on your own machine in 2026. Very few of those tools will triage your inbox, check tomorrow's calendar, read a folder of documents, and click a button inside an app with no API at all.

Most local AI is a chat box with a model behind it, which is a different product from an assistant that works across the software you already use. I built InnerZero because I wanted the second thing, so here is the shortlist I would hand you, including where InnerZero is not the right answer.

Why does the cross-app requirement narrow the field so fast?

Because running a model and integrating a model are two different engineering problems, and most local AI projects only set out to solve the first. Serving open weights on your GPU is close to solved. Getting that model authenticated against your calendar, aware of the document you had open yesterday, and able to act inside a legacy desktop app is a far larger surface, built one integration at a time.

The second reason is incentives. A chat interface is generic, so a small team can ship one and support every model. A connector is specific: OAuth handling, scope decisions, token storage, and a privacy answer for every field it touches. Volunteer projects sensibly leave that to plugins, and a shared tool protocol is now the common way to wire them in. But a protocol gives you a socket, not a finished integration. You still pick the servers, run them, authenticate them, and keep them alive. Flexible if you enjoy that, a project rather than a product if you do not.

Which self-hosted AI assistants belong on a cross-app shortlist?

Five names survive the filter, and two well-known ones do not.

  • InnerZero. A desktop assistant with built-in connectors for Gmail, Google Calendar, and Telegram, more than 30 local tools, and opt-in screen automation for apps with no API. Free to download on Windows, macOS, and Linux.
  • Open WebUI. A self-hosted web interface that usually sits on top of Ollama. Integrations come from tools you install or write. Strong if you already run a home server.
  • LibreChat. A self-hosted chat platform built to serve several users from one deployment, extended through plugins and tool servers you configure.
  • AnythingLLM. Built around document workspaces and retrieval, with agent capability configured per workspace. The best start if your "apps" are mostly folders of files.
  • Jan. A clean open source desktop app with an extension system and a local API server. Lighter on integration, heavier on being pleasant to use.

Ollama and LM Studio are excluded on purpose. Both are excellent, and neither is trying to be an assistant. They expose a local API, so everything cross-app is code you write. How do the shortlisted tools score on local, memory, integrations, voice, and cost?

Every tool passes the fully-local test, so that column stopped being a differentiator. Memory and integrations are where the field splits, and they split together: an assistant that cannot remember yesterday cannot do much with your calendar today. The table below is a snapshot of default behaviour, so check each project's own site before committing, and treat "wire it yourself" as a real time cost, not a footnote.

Read it by column, not by row. Voice has the fewest serious entries, which is why local voice mode was a build rather than a buy for us.

What does app integration actually look like day to day?

It arrives in three layers, and the difference matters more than any feature list.

Connectors are authenticated links to a specific service. InnerZero's Gmail connector is deliberately narrow: read-only scope, and only sender, subject, and the snippet Google already shows in the inbox list. Bodies are never fetched. That is enough for triage, chasing follow-ups, and spotting sender patterns, and not enough for thread summarisation, the honest trade explained in private AI for Gmail without uploading your inbox. Tools are what the assistant does on your machine with no third-party account: read and write files, search the web, run calculations. Most people underestimate this layer. A large slice of "works across my apps" is really file handling plus a browser, not a bespoke connector per service.

Screen automation is the fallback for everything with no API, which in most real jobs is a surprising amount of software. The assistant reads the screen through the accessibility layer your operating system already exposes, then clicks, types, or scrolls. Where is InnerZero the weaker choice?

Four honest gaps, each pointing at a tool that beats us on that axis.

Source code. InnerZero is closed source. If your standard is "I want to read the code, or trust people who have", then Open WebUI, LibreChat, AnythingLLM, and Jan are open and we are not. That is a reasonable line to draw.

Connector breadth. We ship Gmail, Google Calendar, and Telegram. If your day lives in Outlook, Slack, Notion, or a ticketing system, a self-hosted stack where you point a tool server at anything covers more ground today. Screen automation partly closes that gap, but a proper API connector beats driving a UI.

Multi-user hosting. LibreChat and Open WebUI serve a household or a small office from one deployment. InnerZero is a single-user desktop app, so for a shared setup they are the better architecture.

Document-heavy work. If your "apps" are really folders of PDFs and reports, AnythingLLM was purpose-built for that shape of problem.

One clarification while I am being blunt: the InnerZero memory database is a plain SQLite file on your disk, protected by the disk encryption your operating system already provides, not by an app-level layer. Frequently asked questions

Can a self-hosted AI assistant read my email without sending it to the cloud?

Yes, if the connector is designed for it. InnerZero authenticates directly from your machine using a read-only scope and pulls sender, subject, and snippet only, storing them locally. Nothing routes through our servers. The limit is that it cannot summarise a long thread, because it never holds the body text.

Do I need Docker or a terminal to run one of these?

For Open WebUI and LibreChat, usually yes. Both are server applications that expect comfort with containers, ports, and reverse proxies. AnythingLLM and Jan offer desktop installers. InnerZero installs like any desktop app and runs a setup wizard that handles the model download.

Does connecting apps weaken the privacy story?

It changes it, so read the detail rather than the badge. A connector talks to a third-party service by definition, so the question becomes what scope it requests and what it retains. Narrow read-only scopes with local storage keep exposure small. Broad read and write scopes with cloud sync do not.

What hardware do I need to run models and integrations at once?

Not dramatically more than a chat-only setup, since connectors and tools are cheap next to inference. Model size decides your requirement. Can I use cloud models and still keep the app integrations local?
